Terms of service
The agreement between you and Datahone. Written to be read — if a clause is unclear, ask us rather than guessing.

1. The agreement
These terms are between you (or the organisation you act for) and Datahone. Creating an account means you accept them. If you are accepting on behalf of an organisation, you confirm you are authorised to bind it.
Our privacy policy forms part of this agreement.
2. The service
Datahone accepts documents, extracts structured data from them, and returns that data through the dashboard, an export, or the API. We may add, change, or remove features. If a change materially reduces what your plan provides, we will tell you at least 30 days before it takes effect.
3. Your account
- Give accurate registration details and keep them current.
- Keep your credentials secure — you are responsible for what happens under your account.
- Tell us promptly at [email protected] if you believe access has been compromised.
- You must be 18 or over and using Datahone for business purposes.
4. Plans, pages, and hard caps
Each plan includes a monthly page allowance. How a page is counted is set out on the pricing page and is applied consistently across formats.
- Allowances do not roll over. Unused pages expire at the end of each billing period.
- The cap is hard. When the allowance is spent, processing stops until you raise the limit or the period resets. We will not process beyond your cap and bill you for it afterwards.
- Failed pages are refunded. A page that permanently fails to return a result is credited back to your allowance automatically. You do not pay for output you did not receive.
5. Payment
- Fees are stated in pounds sterling and charged in advance for each billing period.
- Annual plans are billed as a single payment covering twelve months at the published annual rate.
- Payment is taken by our payment processor using the method on file.
- If a payment fails we will retry and notify you. Access may be suspended if the account remains unpaid after a reasonable notice period.
- We may change prices with at least 30 days’ notice. Changes apply from your next renewal, never mid-period.
6. Upgrades, downgrades, and cancellation
You can change plan at any time from the dashboard. Upgrades take effect immediately with a pro-rated charge; downgrades take effect at the start of your next billing period.
Cancelling stops the next renewal. Your plan continues to the end of the period you have already paid for, and your data remains exportable for 30 days after that. We do not refund part-used periods except where consumer law requires it or where we have failed to provide the service.
7. Acceptable use
You must not use Datahone to:
- Process documents you have no lawful right to process.
- Break any applicable law, including data protection and export control law.
- Attempt to gain unauthorised access to our systems or another customer’s data.
- Reverse engineer the service, or use it to build a competing product.
- Circumvent usage limits, rate limits, or billing controls.
- Upload malware, or content designed to disrupt the service.
- Resell access without a written agreement with us.
We may suspend an account that breaches this section. Where the breach is serious or ongoing we may suspend immediately; otherwise we will give you notice and a chance to fix it.
8. Who owns what
- You own your content. The documents you upload and the data extracted from them remain yours. We claim no rights over them beyond the licence needed to run the service for you.
- We own the service. The software, models, interfaces, and documentation remain ours.
- Feedback. If you suggest an improvement we may act on it without owing you anything, and without it affecting your rights in your own content.
We do not use your documents or extractions to train models. Our role as processor for that content is described in the privacy policy.
9. Availability
We aim to keep Datahone available continuously, but we do not guarantee uninterrupted service on standard plans. Planned maintenance is announced in advance where practical. A contractual service level is available on Business tier and above.
10. Extraction accuracy
Datahone returns confidence scores so you can decide what to accept automatically and what to review. Automated extraction is not perfect, and we do not warrant that every field will be correct. You are responsible for setting review thresholds appropriate to your use, and for checking output before relying on it for financial, legal, or regulatory decisions.
11. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, our total liability arising out of this agreement in any twelve-month period is limited to the fees you paid us in that period. We are not liable for loss of profit, loss of business, loss of goodwill, or indirect or consequential loss.
These limits reflect the price of the service. If you need broader cover, talk to us about an enterprise agreement.
12. Termination by us
We may terminate for material breach that is not remedied within 14 days of written notice, for non-payment, or if we stop offering the service. If we discontinue the service we will give at least 90 days’ notice and refund any prepaid, unused fees.
13. Changes to these terms
We may update these terms. Material changes are notified by email at least 30 days before they take effect. Continuing to use Datahone after that means you accept them; if you do not, you may cancel and receive a refund of any prepaid, unused fees.
14. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction. Nothing here removes a consumer’s right to bring proceedings in their own country of residence where that right applies.
15. General
- If a clause is found unenforceable, the rest continues to apply.
- Not enforcing a right immediately does not waive it.
- You may not transfer this agreement without our written consent; we may transfer it as part of a sale or reorganisation of the business.
- These terms, with the privacy policy and any signed order form, are the entire agreement between us.
